What costs you money is the message nobody answered
When a business asks us for a booking system, the first thing we do is walk through last week with them. Usually the money did not leave through the calendar. A person at the front desk covers about 40 of the 168 hours in a week. Three signs WhatsApp is still enough
One calendar, one owner. If one person keeps the calendar and nobody else needs to see it live, a booking system mostly adds a screen. The single source of truth already exists, and it is that person.
Your customers ask before they book. Haircuts, repairs, treatments: people want to know whether you do the thing at all before they choose a time. A booking form throws that question away, and some of them leave rather than ask it somewhere else.
The volume fits a habit. Confirm on arrival, send one reminder the evening before, clear the inbox twice a day at fixed times. That is a process, and it costs nothing. Plenty of good businesses in Reykjavík have run on exactly that for years.
If all three describe you, the useful work this month is a faster reply, not a new tool: saved quick replies for the five questions you answer every week, and a fixed hour in the day when the inbox gets emptied.
Three signs you are past the point
You have double booked more than once. One slip is human. A pattern means the calendar has more than one writer and no single version of the truth, and no amount of discipline fixes that arrangement.
No-shows are a line in your month, not an anecdote. Reminders sent by hand are the first fix, and they work. When sending them by hand has itself become part of the job, that is the signal to automate.
You are in the calendar instead of in the work. Count the hours a week you spend moving appointments around, then put your own hourly cost against them. That is the number a system has to beat, and it is usually bigger than the owner expects.
Two more things push you across the line quickly: several people taking bookings for themselves, and anything involving a deposit or a cancellation window. Both need one shared record, and both get expensive to run on memory.

FAQ
How long does a booking system take to build?

Can the booking system be in Icelandic?
Yes. We work in English and Icelandic: meetings, messages and the software itself. If your customers see the screen, it can be in Icelandic; if your team prefers English, that works too.
Do I have to replace the tools I already use?
Usually not. Connecting what you already pay for is a smaller job than replacing it, and automation and integrations start from 95.000 kr. We can also build on top of a website someone else made.
What if I only want appointment reminders?
